Requirement-led procurement

Product Sourcing

Good sourcing begins with a precise brief. We translate the request into product, supplier and order options that can be reviewed before commitment.

From a broad idea to a usable brief

A request such as “Dutch cosmetics” or “fashion accessories from China” is a starting point, not yet an order. Delftrain helps define the information that makes sourcing practical: brand or product type, specification, acceptable alternatives, quantity, target market, required date and budget expectations.

The more precise the brief, the more efficiently we can assess suitable sources and explain trade-offs between availability, price, timing and order size.

Our sourcing sequence

1. Define the requirement

We confirm the product, preferred brand or specification, intended use, quantity and destination. Reference images, product codes and packaging requirements can help reduce ambiguity.

2. Review supply options

Depending on the request, we approach suitable suppliers or established supply connections in the Netherlands or China. A proposed source is assessed in the context of the specific order; supplier availability can change by season and product line.

3. Compare the workable choices

Relevant information may include unit price, pack size, minimum quantity, lead time, product variation, expected shipping method and any information still needed before purchase.

4. Confirm before purchasing

The customer approves the chosen option and commercial conditions before Delftrain places the order. Payment stages are stated in the quotation so the purchasing point is clear.

What we look for

  • A product that matches the agreed description and intended market
  • A realistic quantity and order format
  • Clear pricing and lead-time information
  • Packaging that is suitable for the expected transport route
  • Supplier communication that supports orderly fulfilment

Availability is request-specific

Delftrain does not present every possible item as continuously available. Products, prices and supplier stock can change. We therefore confirm availability for each request and explain when a substitute, revised quantity or different timeline would be more practical.
